Setting Up A Work Schedule/Rota For Employees

This section will show you how to set up a single day and also how to make a recurring schedule for those whose shift patterns do not change. Recurring schedules will be listed further down the page after the single day section.

  • Go to Schedule at the top of Salon Iris (or press Ctrl and F on the keyboard).


  • Employees are on listed on the left; each column represents a different day. Double-click on a day you would like to enter a schedule for a particular employee.


  • In the Modify Schedule window in the Working Hours section, enter the start and end times for the work day and then click Add.

 
  • When the correct schedule for that day has been entered click the OK button. You will then see that day shown on the Employee Schedule screen.


  • Click on the next days and set them up in the same manner to create a schedule for that employee.

****CREATING A RECURRING SCHEDULE****
 
  • Go to Schedule at the top of Salon Iris (or press Ctrl and F on the keyboard)​


 
  • ​In Working Hours, enter the Start time and End time of that employees shift and then press Add.


 
  • Under the Date​ section, press Recurring.


 
  • ​In the Recurring Dates box, press the Add Multiple Dates button.


 
  • ​In the Add Multiple Dates box, go to the End of Recurrence section and add when you would like to end the recurring schedule. Select End on or before and the date you wish to end the recurrence. (For this example, we shall be creating a schedule for the next year)


 
  • You now have three options to choose from under the Recurrence section.

 
  1. DAILY = This option is used if the shift pattern selected runs every set number of days (EXAMPLE: An employee works every other day, so you would set this option to Every 2 day(s).                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                          
  2. WEEKLY = This option is used if someone works the same shift pattern on certain days (EXAMPLE: An employee works 09:00-18:00 on Mon, Tues, Wed, Fri & Sat every week, then you would tick all those days and set it to Every 1 week(s) on.)                                                                                                                                                                                                                                                                                                                                                                                                                                          
  3. MONTHLY = This option is used if an employee has an irregular shift pattern and works a specific shift on a specific day of a month (EXAMPLE: An employee works the 1st day of every 2nd month (Day 1 every 2 month(s)) or works a specific day on a specific week of the month (The Third Wednesday of every 3 month(s))

          
 
  • Once you have selected the option you want and set it up, press Test. This will list the dates according to what you have set.​ If you are happy with these then press OK on this box followed by OK in the Add Multiple Dates box.


 
  • ​You will then find that the dates are listed in the Recurring Dates box. Press OK.


 
  • You will see now that in the Date section, rather than a specific date showing, it will have the word Recurring. Press OK.​
  • You will now have a Pop-Up box telling you how many entries have been made. Press OK.


 
  • You will now see the list of shifts on the Schedule screen.
 

 
  • You can also use this section to implement holidays and days off. It is the same process as either of the above options, but​ under Status you select why that person is off.


 
  • ​A completed schedule will look something like the example below.
