Set Your Preferences Settings for Online Booking & Setting Up Facebook Booking

  • Set your preferences includes three options. Booking PreferencesBooking Plug-In Setup and Facebook Integration.​

 
****BOOKING PREFERENCES****
 
  • Booking Preferences is an essential section and is worth taking time to explore every option as this decides how your Online Booking service works.
  • First we will look at Booking Settings. The first three options are;
 
  1. Appointment Requests Require Approval - If set to Yes, then you will need to Accept or Reject online booking requests as they come in to the business. If set to No, then appointment requests will be automatically confirmed at the time slot the customer has selected.
  2. Appointment Time Interval - This option decides what times that clients can make appointments for. (i.e. If set to 30 Minutes, then appointments can only be made at 30 minute intervals in the hour - 13:00/13:30/14:00/14:30 and so on).
  3. Time Booked In Advance - This is the minimum amount of time that a client has to wait in order to get an appointment. (i.e. If set to 2 hours, then a client making an appointment at 2pm wouldn't be able to get an appointment until 4pm at the earliest)


 
  • The next three options are;
 
  1. Max Time Booked In Advance - This option specifies how far in advance a client can make an appointment (i.e. If set to 3 Weeks then they can book an appointment no later than three weeks from that day).
  2. Time Booked In Advance When Offline - If your machine goes offline (Online Booking requires an Internet Connection and Salon Iris to be running 24/7 in order to get the best out of the service and for all requests to be treated as Online) then this is how far in advance that someone can make an appointment. As this is an offline request, you may require more time to make sure there are spaces available for the appointment.
  3. Max Time Booking In Advance When Offline - This is how far in advance someone can request an appointment if your system is offline. As this is an offline request, you may require more time to make sure you can accommodate the request.


 
  • The final three options in this section are;
 
  1. Allow Clients to Enter Address - If this option is set to Yes, it means that clients would be required to enter their home address. If set to No then this field is optional.
  2. Include Filter by Service Category - If set to Yes, this will allow clients to narrow their search based on the categories that you have set inside Salon Iris for services (i.e. If you have services like Cut & Style, Blowdry, Hair Up under Womens Styling, then they could narrow their search by selecting Womens Styling from this menu when making an appointment). If set to No, then clients would have a drop down menu listing all of the services that you have made available on online booking.
  3. Include Time Of Day Preference - This allows a client to narrow their search when making an appointment to either MorningAfternoon or Evening if there is only a specific time in which they can visit your business.
  • Be sure to click Save Changes once you have made all changes in this section.
 
  • Client Notification Messages allows you to edit the message that will be sent to a client based on whether their appointment has been accepted or rejected.
 
  • Click Edit Notification to change the message.
  • You can now change the email message that is sent to clients. Don't forget that anything inside arrows <> will take the information directly from the database as it has been input (i.e. <Client First Name> will be replaced with that clients First Name). Be sure to click Save Message once you have edited this to how you like.
 
  • The final section is Employee Notification Recipients. This section has four options.
 
  1. E-Mail the Scheduled Employee - If set to Yes, then this will send an email notification to the employee who has had an appointment requested with them. This requires each employees email addresses to be entered into the desktop version of Salon Iris in the Edit Employee section (Click here for how to do this). This option is generally used for those who have chair renters working in their business who may not operate on the same rota as your regular employees. If this is set to No, then requests will come straight through to your Salon Iris software and to no email addresses.
  2. Allow Requests to be Approved from Notifications - If set to Yes, then when an employee receives an email about an appointment being made with them, they will have a link to be able to Accept or Reject the appointment. (PLEASE NOTE: This option requires Email the Scheduled Employee to be set to Yes).
  3. Additional Recipients - In this drop down menu, you can set that certain employees will receive an email notification every time an appointment is requested/made. (PLEASE NOTE: The email addresses are taken from your Salon Iris software, so you may need to fill these in and then manually sync your online booking). IF YOU WANT AN EMAIL TO GO TO YOUR BUSINESS EMAIL ADDRESS, SET THAT EMAIL ADDRESS TO AN EMPLOYEE AND SELECT THEM FROM THE DROP DOWN MENU.
  4. Offline Recipients - If someone makes an appointment request but your business machine is offline for some reason, this will send an email to say that an appointment has been made to the email addresses selected in this drop down menu. (PLEASE NOTE: The email addresses are taken from your Salon Iris software, so you may need to fill these in and then manually sync your online booking). IF YOU WANT AN EMAIL TO GO TO YOUR BUSINESS EMAIL ADDRESS, SET THAT EMAIL ADDRESS TO AN EMPLOYEE AND SELECT THEM FROM THE DROP DOWN MENU.
 
  • Once all amendments have been made, click Save Changes.


 
  • Once all changes have been made, select Back To Options from the panel on the left of the screen.



 
****BOOKING PLUGIN SET UP****
 
THIS IS FOR BUSINESSES WHO WISH TO USE THEIR OWN PERSONAL WEBSITE BUT IMPLEMENT JUST THE ONLINE BOOKING WINDOW ON IT.
 
  • Select Design Booking Plugin.


 
  • You now have a series of tools for changing several aspects of the design of your booking plug in. Once you have edited the plugin as you wish, be sure to click the tick at the top of the box. Click the cross to cancel all changes made at that time.


 
  • Click Back To Options from the left hand side of the screen and then select Booking Plugin Setup from the main Options screen again.​
  • Select Generate Plugin Code.


 
  • ​You will now see the Plugin Code Box. Set the Width to 800 and then press Generate Plugin Code. This will then create the code needed for your website.


 
  • Right click on the highlighted plugin code and select Copy (or once the code is highlighted, press Ctrl and C on your keyboard).


 
  • Open up some sort of word processing software (Microsoft Word, Open Office, Wordpad, Notepad etc)
  • ​Right click anywhere in the word processing software and select Paste (or press Ctrl and V on the keyboard).



 
  • You will now see the plugin code needed for your site. Save this file and give this to your web developer. If you do your own website, then implement this accordingly.



 
  • Once done, go back to the Online Booking web window and select OK on the Booking Plugin Box.​
 
****FACEBOOK INTEGRATION****
 
 
PLEASE NOTE: THIS WILL ONLY LINK TO A BUSINESS FACEBOOK PAGE.

A BUSINESS PAGE GATHERS 'LIKES' RATHER THAN 'FRIENDS'. 

IF YOUR BUSINESS PAGE HAS 'FRIENDS' AND NOT 'LIKES' THEN IT IS SET UP AS A PERSONAL ACCOUNT.

TO CONVERT A PERSONAL ACCOUNT TO A BUSINESS PAGE, PLEASE 
CLICK HERE.

YOUR BUSINESS ACCOUNT MUST HAVE 2000 LIKES OR MORE IN ORDER TO HAVE A DEDICATED TAB. HOWEVER, THE CALL TO ACTION BUTTON WILL WORK ON ALL ACCOUNTS.
 
  • Select Facebook Integration from the Options.


 
  • Design your Facebook plugin using the tools available (as mentioned above in the Booking Plugin Instructions).
  • Now select Login With Facebook.


 
  • Log in to Facebook​ using your personal account details (Business accounts on Facebook will be linked to this Personal Facebook account).


 
  • You will see a message saying "MySalonOnline Online Booking will receive the following info: your public profile". Press OK.
 

 
  • You will now see the option to Connect To A Facebook Page.


 
  • Select your business page from the drop down menu and then press Add Page Tab.


  • ​Now go to www.facebook.com and go to your business page. Click on More from your page tabs and you will see Online Booking as a tab. Select Manage Tabs.


 
  • You will now have a screen with a list of all the available Tabs for your Facebook page and a message stating Drag to Reorder. We suggest that you drag your Online Booking Tab as high up as possible to make sure it is instantly visible on your Facebook page. Click Save once reordered.


 
  • You will now see that the Online Booking Tab is now listed as one of the first Tabs on your page is instantly visible. If you click the tab then you will see the Facebook Plugin that you designed. This is now live and instantly usable for your clients. ​
