Creating a Privacy Policy For Your Business

ALL businesses should have a privacy policy that talks about how you deal with customer data, how it is used and how it is shared, if shared at all. You should also include information for clients on your lawful basis for processing data, data retention periods (in relation to business critical information as well as personal data) and that clients have a right to complain to the ICO if they believe their information is not being handled correctly.

You must make these points in a clear and concise manner so it is easy to understand.

This Privacy Policy should be made available on your website (should you have one) and also be available to read inside your business by any clients (keep a copy visible on your front desk or pinned on the wall etc).

We have drafted a rough template for a privacy policy which you may use in your business where details are applicable. This is available 

Ideally, you should email a readable copy or a web link to your updated Privacy Policy, (if you do email marketing through Salon Iris or 3rd party software using Salon Iris data) to make them aware of it being updated/implemented. In this email (if being sent before the May 25th GDPR deadline) you should also include information on how customers can unsubscribe from marketing emails within your business. All marketing emails sent from Salon Iris MUST include an unsubscribe option anyway, but make this option clearly available.

You can find an example of something you can send to your clients below, you may use this and amend any details as required to be compliant with your business terms. (All fields inside <> will be automatically populated if used inside the marketing suite of Salon Iris);

At <Company Name>, we are committed to protecting your privacy. With the upcoming GDPR regulations change coming into effect on May 25th, we have updated our Privacy Policy to better explain how and why we collect your personal information. You can find more on our Privacy Policy on our website.


In addition to updating our Privacy Policy, we have made it easier for you to be in control of the data we use for marketing. We do not offer any of your data to any third parties and will only contact you about offers relevant to <Company Name>. If however you do not wish to receive these marketing emails, then please click <Unsubscribe>, or contact us on <Company Phone> or email us <Company E-mail>.
